TCAT at SNBTS commits to protecting your privacy. This privacy notice explains how we use, store and share the information we collect about you.


Collecting and using personal information

We collect certain information or data about you when you use our website. 

This includes your email address (if you contact us via our contact form) and data on how you navigate the site (using cookies).

Your information allows us to respond to queries, improve the site, and enhance user experience.

We won’t share your information with other organisations for marketing or commercial purposes. We don’t pass on your details to other websites.

Protecting your information

Only authorised people will access your personal information. Our security measures include mandatory staff training in data protection, adherence to NHS Scotland Information Security Policy, and access controls and audits of electronic systems. Contractors are also bound to SNTBS’ security standards.

Disclosing or sharing your information

We prioritise user privacy but may disclose personal information when required by law.

Retention of information

We retain personal data as outlined in the Scottish Government Records Management: NHS Code of Practice (Scotland) Version 2.1 January 2012.

The right to be informed

We communicate and explain how we use your information through this privacy notice, leaflets, and discussions with staff.

The right of access

You have the right to access your own personal information. 

This right includes making you aware of what information we hold along with the opportunity to satisfy you that we’re using your information fairly and legally. You can request confirmation that we hold your information, access to the information itself, and further details on how we use it.

To make a request, contact us via our web form. We’ll respond within one month, or within two months if your request is complex, and we’ll inform you if there’s a delay.

The right to rectify personal information

You have the right to request corrections if we hold inaccurate or incomplete personal information about you.

When we agree on the need for corrections, we’ll update your records within one month or, for complex requests, within two months. We’ll notify you if more time is required. To prevent misuse, we can restrict access to incorrect records until they’re updated. If for any reason we’ve shared your information with anyone else, perhaps during a referral to other services for example, we’ll explain to them the changes needed so they can ensure their records are accurate. 

When we consider your request, if we don’t consider the personal information to be inaccurate then we’ll add a commend to your record stating your concerns about the information. If this is the case we’ll contact you within one month to explain our reasons. 

If you’re unhappy about how we respond to your request for rectification, we will provide you with information on how you can complain to the Information Commissioner’s Office, or how to take legal action. 

The right to object

When we process your personal information, you have the right to object to the processing and also seek that further processing of your personal information is restricted. 

Your right to object will not be upheld if we can demonstrate compelling legitimate grounds for processing your personal information, like patient safety, the need to deliver a public service, or for evidence to support legal claims.

The right to complain

If you’re unhappy with the way we use your personal information, you can raise complaints with us using our contact web form or with the Information Commissioner’s Office (ICO).
